Drivers import template

Every column of the drivers sheet, what goes in it, and what people get wrong.

Step 3 of 6 in the setup workbook. Before this: Routes. Next: Buses.

The columns

ColumnNeeded?What goes in itExampleCommon mistake
Driver nameYesAs it should appear to parents watching the bus.A DriverInitials only. Families see this.
EmailYesWhat they sign in with. It has to be unique across the whole system.driver@example.comReusing one address for several drivers. Each needs their own.
PhoneNoFor the office to reach them.+10000000000Dropping the leading zero or the country code when Excel treats it as a number. Format the column as text first.
PasswordYesThe one you hand over. They can change it later.changeme123Something under 8 characters, which is refused. Do not reuse one password for every driver.
Bus licenceNoThe number plate of the bus they drive, which must already exist.AB-1234A plate that is not in the system yet - the row is imported without a bus and told so.

Before you start

  • Keep the first row exactly as it is. The column names are how the file is read - the order does not matter, but the names do.
  • Type into the first sheet. The Example sheet is only there to be looked at; it is not imported.
  • One row per thing. Do not merge cells, do not add a title row above the headings, and do not leave blank rows in the middle.
  • Nothing is saved until you press the button. You upload the file, read what each row would do, untick anything you do not want, and only then commit.
  • Uploading the same file twice does not create everything twice - a row that already exists is matched and updated instead.
  • You set the password here and hand it to the driver. They sign into the driver app with the email and that password.
  • A driver with no bus cannot start a run. You can leave Bus licence empty now and attach one later, or import your buses first and name the licence here.
